Volunteer Needs

Re-tweeter

  • Someone who will retweet and keep up with players and coaches.

  • Will work closely with social media coordinator who will create the content that is shared across platforms.

Graphics/website

  • Create graphics to be used on the website/social media. Creative and staying on brand.

  • Assist in maintaining Home Run Club website, which uses the Square Space platform.

Rotary Parade – December 3, 2023, 2 pm

  • Coordinate team “float” for parade - work within the parade theme.

  • Determine any give-aways (note, you cannot throw candy into a crowd). Would like the item to be branded Allen Eagles baseball so we are remembered.

Banquet – Early May, waiting on PAC calendar

  • Will plan and execute the end-of-year baseball banquet. Banquet is for all teams/families and is held at the PAC. 

  • Highly recommend a committee to divide up tasks. 

  • Work with Coach and Board on date. Typically PAC sends out a form requesting preferred dates. Coach Wilson will have preferred dates usually in the first two weeks of May. 

  • Decide on decorations - there are many that we have in storage. 

  • Order tablecloths from PAC. 

  • All teams are invited to attend. 

  • Select a catering option. Present to HRC board for approval. 

  • Program for banquet. 

  • Determine price of ticket based on costs. Ensure tickets are on sale.

  • Decorate tables the day of the event.

Senior Slideshow - Class of ‘24 parent

  • Collect photos and create a slideshow for the banquet. This will be strictly for graduating seniors. 

  • Slideshow is set to music. 

  • Please be sure all players are represented fairly. 

Slideshow - For All Teams

  • Collect photos and create a slideshow of the baseball year for the banquet. 

  • This will include all players. 

  • The slideshow will be played as guests arrive at the banquet and in the background of the banquet. 

  • Please be sure all players are represented fairly. 

Greetings with the Eagles – Spring

  • Will coordinate dates with Coach Wilson and head softball coach for three days that will work for all players to visit campuses in the spring.

  • Typically this is done in March, after spring break.

  • There are three days where we divide up the elementary schools.

  • Coordinate a sign-up genius for players to sign up.

  • Coordinate a committee to help at each campus, we must have a parent volunteer at each campus.

Blooms for Bases Fundraiser - Spring

  • Blooms for Bases is our spring fundraiser and runs late March to early April.

  • We distribute flowers on a Sunday in mid-to-late April.

  • Coordinate details with nursery.

  • Coordinate communications for families to sell flowers.

  • Consider selling to the community online.

  • Collect all flower order forms, count and verify money and submit order to nursery.

Sponsors

  • Create sponsor levels and sell sponsorships to businesses in the community.

  • Ensure all promised benefits are executed on.

Meet the Eagles – Feb 2, 2024

  • Coordinate drawing/hat sales.

Varsity Theme Nights

  • Coordinate theme nights during the spring season. These include: Teacher Appreciation night, ASA/elementary night, and Silver Eagles/Grandparents night.

  • Coordinate an honorary first pitch.

Senior Day – April 13, 2024

  • Coordinate with senior parents: song they would like to walk out to; a paragraph about their player that will be read over the loudspeaker; who will be escorting their players.

  • Small gift for moms: baseball rose/flowers

  • Last catch: This can be with dad or anyone who the player wishes. Ask Coach for a ball for this. 

  • Coordinate a photographer - Paula Mason has been willing to do this for us. 

  • Coordinate a small gift for each of the players - in the past this has been a photo of the senior boys framed - possible to have Eddie Kelly assist. 

  • Light refreshments - depending on time of the game - waters/cookies 

Tournaments – hospitality room/gate volunteers/game volunteers

  • Coordinate volunteers for the tournaments hosted at Allen.

  • Set up hospitality room for umpires and visit coaches.

JV/Freshman Team Reps – will select in spring once teams are set

  • Selected once teams are set for spring. 

  • Initial point of contact for parents. Note, you will be able to ask HRC board for any help. 

  • Create sign up genius for team dinners. 

  • Will work with Varsity team rep for any questions.

JV/Freshman Games: Announcing, GC, Scoreboard

  • JV/Freshman home games in the spring will need volunteers to announce, run Game Changer, and run the scoreboard.

Game Day Flags

  • One family who will put up and take down game day flags for all home Varsity spring games, home scrimmage games, and tournaments.

  • Flags go on Greenville side entrance, Rivercrest - off Exchange near the Natatorium; if school is in, the entrance across from the circle in front of the high school.

Sign-up Genius Creator

  • Assist with creating Sign Up geniuses throughout the season as needed. Most help is around the tournament games hosted at Allen.

Spirit Wear

  • Work with Eagle Designs on creating a spirit wear store for baseball families to order from.

  • Store will need to be live by the end of tryouts.

  • 3-4 shirt designs + Senior dad/mom shirts; yard signs; hats

  • Work with HRC board on options.

Scholarship Committee

  • Be sure scholarship application is published within the guidelines posted.

  • Collect applications.

  • Verify applications and that all requirements have been met.

  • Notify recipients.

  • Create certificate and present at the banquet.

Golf Tournament - Feasibility

  • Investigate what a golf tournament would look like.

  • Home Run club hosted in the past (pre Covid).

Angel League Coordinator: Jenn Whaley

  • Work with Angel League on dates players are needed. 

  • Create sign-up genius for distribution to players. 

  • Type up informational email to have Coach send to all baseball families. 

  • Watch sign up and communicate with Angel League. 

  • Coordinate with Angel League on how many AHS players they would like at the banquet. 

  • Create sign up for banquet. 

  • Purchase small gift for the Angel League players. HRC will reimburse.

Calendar Coordinator: Jenn Whaley

  • Enter HRC activities and games in Tockify, which integrates with HRC website.
